Central Alberta Pride Week 2018 – Pride in the Park

Good Day Vendors,

This is the official vendor application for Pride in The Park happening Sunday, August 12, 2018 at Bower Ponds. Thank you for your interest and support of Central Alberta Pride Week. We are very excited about this year’s festivities and are eager to have you on board.

In order to participate as a vendor please fill out all fields below and submit this form no later than August 2, 2018. This will secure your spot as a vendor at Pride in the Park. A PDF version of this form is also available by clicking here.

Additional Information

Pride in the Park will take place Sunday, August 12, 2018 at Bower Ponds. This is a rain or shine event. The event will begin at 10:00 a.m. and run until 7:00 p.m. Vendors may arrive on site and begin set up at 8:30 a.m. Set up should be complete not later than 9:45. Vendors are required to stay and be open for the duration of the event and must not disassemble stall before 7:00 p.m. We reserve the right to cancel in the event of extreme weather.

Booths are $25.00 each and are 10 ft. x 10 ft. All vendors must supply their own tent, umbrella, or shelter. The entire display area must be contained within the 10 ft. x 10 ft. area of the stall. You are responsible for all necessary display items including tables and chairs. To participate as a vendor your booth must have 50 lb weights attached to each leg of your tent. Vendors that do not comply with this policy will not be allowed to set up. Please note that the $25 charge for a booth may be covered by a donation or by pledging a percentage of your event sales to Central Alberta Pride Society. This must be specified and agreed upon previous to the event.

Rainbows are not required but they are encouraged. There is no dress code. Please be comfortable and feel free to express your individuality however you choose. That being said, vendors should be neat and clean in appearance and must conduct themselves in a professional manner at all times. Any complaints received regarding unprofessional conduct, the use of excessive profane language, smoking, cleanliness of the vendor or the vendor’s products, etc. will be considered grounds for dismissal from the event. Insubordination, the consumption of alcohol or drugs, and fighting during the event is cause for immediate dismissal. No warnings will be given, and no refunds will be provided.

Extreme Weather Policy and Evacuation

Extreme weather events may include thunderstorms, high winds, heavy rain, hail, or tornado. Please note this is a rain or shine event so keep an eye on the forecast, so you can plan and dress accordingly. In the event of extreme weather circumstances festivities may be put on hold or cancelled accordingly. An announcement will be made on the main stage to inform you of this. Staff on site will also be made aware of the circumstances and will be walking around communicating relevant information to other staff, volunteers, vendors, and patrons.

As most of these scenarios involve high winds tent weights are required to mitigate risk, no exceptions. Tents weights should be equivalent to a 50 lb weight on each leg of a 10 x 10 ft. tent. Umbrellas should have 90 lb weights, fences, freestanding signs, or stationary mascots are to be weighted with sandbags.

If a weather watch or warning issued by Environment Canada is of concern prior to the event:

  • You as a vendor may choose not to attend. We simply ask that you let us know of your decision not to attend in advance.
  • If you choose to attend but feel the weather is worsening, you can leave the event site at any time. In this case, all goods must be walked out of the event area as no vehicles will be permitted onsite or to leave the site until the event is officially closed. This is to ensure the safety of all vendors and patrons.

In the event of a cancellation, postponement, or evacuation all patrons are to exit the park in an orderly fashion making their way to the parking lot via the paths. Event staff will oversee all evacuation procedures and aid where necessary.

Central Alberta Pride Society may take photographs or videos during the event for use on social media, our website, or in advertising and promotional materials. Signing this contract indicates that you have been made aware of this and are knowingly and willingly granting permission for use of photos or videos without compensation.
